Privacy Policy

This Privacy Policy explains how Taskivo ("we", "us") collects, uses, and shares personal information when you use the Taskivo mobile app and website at taskivo.app (the "Service"). Taskivo is field-service operations software for trade, maintenance, and inspection businesses.
1. Who controls your data
Taskivo is a business-to-business platform, so two roles apply. For your account and your use of the app (your name, email, login, and usage), Taskivo is the data controller. For the business records you enter — your customers, their properties, jobs, quotes, invoices, photos, and messages — the trade business that operates the account is the controller and Taskivo acts as a processor on its behalf. If you are a customer of a business that uses Taskivo, please direct privacy requests to that business; we will assist them as their processor.
2. Information we collect
Information you provide
- Account & identity: name, email, password (stored hashed), company, role.
- Business records: clients, properties, jobs, appointments, quotes, invoices, service plans, inspections, notes.
- Content you capture: photos of jobs and inspections.
- Communications: messages you send to your customers (email, SMS, WhatsApp) and interactions with the in-app assistant.
Collected automatically
- Device & usage data: device type, OS and app version, in-app analytics events.
- Push notification tokens (Apple APNs / Google FCM).
- Approximate or precise location — only when you use location features (see Section 5).
Stored only on your device
- Biometric unlock (Face ID / fingerprint) is handled entirely by your device's secure hardware. We never receive, see, or store your biometric data.
- Offline cache: business records may be cached in a secure on-device database so the app works without a connection.
If your plan involves payment, card details are processed directly by a third-party PCI-compliant payment processor; Taskivo does not store full card numbers.
3. How we use information
We use personal information to provide, operate, and secure the Service; create and manage jobs, schedules, quotes, invoices, and inspections; send notifications and reminders you configure; deliver messages from a business to its customers; power assistant and operational-automation features; compute and share estimated arrival times when you use location features; provide support; prevent fraud and abuse; meet legal obligations; and improve the Service. Where required (e.g. GDPR), our legal bases are performance of a contract, legitimate interests, your consent, and legal compliance.
4. How we share information
We do not sell your personal information. We share it only with service providers who help us run the Service, bound by contract:
- Twilio — SMS and WhatsApp delivery.
- SendGrid / email delivery provider — transactional and customer email.
- OpenAI — to power assistant and operational-automation features.
- Apple (APNs) / Google (FCM) — push notifications.
- A mapping/geocoding & routing provider — only when you use location/ETA features.
- A payment processor — only if you have a paid plan.
- Cloud hosting & infrastructure provider — to host the Service.
We also share records with authorized users in your own company account, when required by law or to protect safety, and in connection with a business transfer. A current list of subprocessors is available on request at privacy@taskivo.app.
5. Location data (ETA features)
Location is used only for features you choose to use. The "I'm on my way" action takes a single location reading to estimate your arrival time for the customer. Optional live tracking, if enabled, collects location in the background only while a trip is active and stops automatically when you arrive or end the trip. Background tracking is off by default, you can disable location at any time in the app and your device settings, and the customer sees only your current position and ETA — not a history.
6. Photos
Photos you capture are stored in the app, may be saved to your device's photo library as a field backup (with your permission), and uploaded to our servers to attach to the relevant job or inspection. You can control photo-library access in your device settings.
7. Mobile app permissions
The app requests Camera (job/inspection photos), Photos/media (save job photos as a backup), Notifications (reminders and alerts), Location (estimate and share your arrival time), and Face ID / biometrics (unlock the app — handled on-device, never transmitted). You can manage each in your device settings.
8. Data retention
We retain personal information while your account is active and as needed to provide the Service, then for the period required to meet legal, accounting, and dispute-resolution obligations. Business records are retained per the operating company's instructions. Location points for live tracking are kept only as long as needed for the trip and a short audit window, then deleted.
9. Security
We use technical and organizational measures including encryption in transit, hashed credentials, secure on-device storage for tokens and offline data, and role-based access controls. No method of transmission or storage is completely secure.
10. Your rights
Depending on where you live (e.g. under the Australian Privacy Act, GDPR, or CCPA/CPRA), you may have the right to access, correct, delete, or port your information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact privacy@taskivo.app. If your information was entered by a business that uses Taskivo, we will refer your request to that business as the controller.
11. Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
12. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here with a new "Last updated" date and, where appropriate, notify you in the app.
